CODECS complies with the General Data Protection Regulation (GDPR) and Privacy legislation. Find out below what this means in practice.  

Data Collection 

We are using cookies on the website to facilitate browsing on the website. During your session we temporarily store your IP address. This information will only be used for the consultation statistics. For more information on Cookies, please read our Cookie Policy.

For the subscription to our newsletter, we collect your email address. This is used only for the purpose of sending you the newsletter and related statistics. We will also collect other data (name, surname, country, position, organisation and type of stakeholder) for research purposes. Your contact details will not be used in any other context without asking your consent before. 

We consider that it is in your legitimate interest so that you can read our news without having to provide us with your contact details every month. Each newsletter also gives you the right to unsubscribe.

Data Storage 

Your data is processed securely: we use various technologies and security measures to properly protect your data against unauthorised access, use, loss or disclosure. Where necessary, these technologies and measures are tested and adapted at regular intervals.
In accordance with the GDPR, we only use servers that are internal or located in Europe and that comply with the regulations in force in the European Union since 25 May 2018. In addition, personal information stored in paper form is only accessible to those who need it to perform the requested service. Your personal data will be kept only until the end of the contractual obligation established in the Grant Agreement n. 101060179 (3 years after the end of the project).
In the event of an uncontrolled data leak, we are committed to informing anyone affected by the leak and to do all that is necessary to repair the system as soon as possible. We never share your data with third parties for commercial purposes, and we never share your data outside of the EU. We can share the data just among the members of the Project Consortium if this activity is necessary to reach the goal of the Project. In the case of sharing data with a member of the Project Consortium located outside the EU (Serbia) we will use the Standard Contractual Clauses (SCCs) realised by European Commission.

No subcontractor is involved in the processing of the data.
We also apply the principle of information. This means that anyone who provides personal data is invited to read the present statement before providing any information. You may, at any time, request access to your personal data as mentioned in the next paragraph.

Your rights regarding the storage of your personal data 

At any moment, it is possible to access, rectify, cancel or object to your personal data, as such may pertain to its use or collection. This is provided in conformity with Articles 15-22 of the GDPR, which provide the following rights:
a) To require confirmation on the existence or non-existence of your personal data
b) To obtain indications of the processing purposes, the personal data category, the recipients and the storage time
c) To request your personal data correction or cancellation
d) To get the processing restrictions
e) To obtain the portability of data: a data controller receives data in a structured and readable format from another data controller without impediments
f) To object to the processing of your personal information at any time, and in case of direct marketing purposes as well
g) To require the personal data access, rectification, cancellation, restriction or objection, in addition to the right of portability
h) To withdraw the consent at any time without prejudicing the lawfulness of the processing based on a prior consent and
i) To lodge a complaint with the Data Controller
You can, at any time, consult the personal data that AEIDL (communication responsible) and UNIPI (project coordinator) keeps on you and, if necessary, request correction or deletion (if your data is not necessary for the performance of the contract) of all or part of your data. You also have the right to be forgotten and therefore request the complete deletion of your data in the event that its storage is not part of a contractual or legal obligation. To do so, send your request to .

Organisations have an obligation to respond to any request to consult, modify or delete your personal data within thirty days. However, this period may be renewed if the request concerns a large amount of data. In any case, you will be informed as soon as possible of the time required for processing the request.

Security Measures

The CODECS website includes some security measures to ensure the safety of data:  

  • Website backend and mailing list platform are password protected 
  • Two-factor authentication is set-up for the website backend and mailing list platform 
  • All services and data are stored in the EU.

Navigation Data  

CODECS website does not store any navigation data, including but not limited to IP addresses, URI addresses of resources requested, time of requests, methods used for requests, file sizes received, or any other parameters related to the user’s operating system and computer environment.

The website uses Google Analytics to manage website statistics. However, we have configured it to ensure the privacy for our users:

  • Google is not permitted to use this data for any other Google services.
  • The acquisition of IP addresses is blocked

Right to update our privacy policy 

We reserve the right to modify and update this Privacy Policy. The way we process and protect data could be reviewed. The modifications to our policy can be verified at any moment and we recommend you review it each time you access the website.
